Good morning. Good afternoon. Good evening. And welcome back to day three. Today we’re gonna focus in on goal setting, accountability and deadlines. 

I know we touched yesterday on setting great goals, but today is gonna be super practical. And I’m going to share with you a few tips on the tools that I use in order to stay on top of those tasks that need to be carried out, in order to drive yourself, and your business towards those goals.

You can have the best intentions, and the best goals set out for yourself, and for your business, but if you’re not keeping on top of breaking that down into manageable tasks, having clear goals, and deadlines, and keeping on top of actually achieving them on moving forwards, then all of the time you’re spending creating those goals and setting yourself up is gonna be wasted time.

So, I’m gonna share with you a few of the ways that I stay on top of tasks that need to be done for myself and for my agency @ItsNomad9. And they’re super simple, and as I’ve said in the videos before this, not all these tools need to cost you money. You don’t need to over complicate things.

In fact, one of the biggest tips that I give to people when we’re mentoring them, is looking for the processes of things that you already have.

So, for example, one of the things that we do when we’re mentoring people is we encourage them to write down those goals. So it’s super clear. I’ve said this before about the visual element of being able to see them regularly and revisiting them. Tow drive towards those goals.

But we’re breaking it down into talks. I want to show you how simple it can be. It doesn’t have to be technology based.

For example, one of the things that we do with the people that we mentor, is we actually work with a journal, which you can see on the screen here, where we’re helping people to set really, really clear goals, and we ask them to write them out in this big section of the journal.

And also we ask them to track things. One personal thing, and one business thing, every single day, throughout the week.

Now we’ve intentionally, in this journal made every section, and every day small, because we believe that if you have 2 to 3 of the most important tasks in each individual day, you’re gonna be more productive. You’re gonna be more focused on you’re going to get better results.

So having your goals here, and the things that you want to achieve. Now, this is actually the weekly goals, and you might have an overview to the bigger goal that you were working towards. But I put in just three or four things into here. It means you’ll be really, really focused on working on the right thing.

So this is generally the things that need doing is an overview. Every day is 2 to 3 tasks that you gonna work on specifically, to get towards that goal into complete things. And if you complete these tasks that go in every single day, then obviously you’ve got another list here. If you’ve got spare time to go and to do other things.

So it’s about using the tools that you’ve got.
You don’t have to invest in software, and other fancy gadgets.
Literally pen and paper.

We’ve obviously got a designed journal that is for our mentoring, and that we share with people. We’ve actually had some people ask for to make this available, so that they can follow along in that process.

So you can start with pen and paper. You don’t need to over complicate things.

When you break those goals down and you’re putting them into something like a journal, or any of the other tools that we share. It’s really important that you look at the long term goal. What’s the big goal and then it would break that down into, what does that look like in tasks that we have to complete in a year? and then in six months, and then in three months, one month, and week to week?

So that we can get that real granular overview of the small tasks that we need to do every day, every week, every month, every quarter to drive us towards that big goal that we’ve set out, with a very clear intention.

Once you’ve got that it’s super, super simple.

As I said with the journal, it gives you the opportunity to put in that week’s goal here. And we also have things we have month trackers and things like that, which just makes it super, super simple for people to keep on top of seeing what’s going on. Being able to keep on top of the monthly goals, and we make them write out at the beginning, what’s that big, overarching goal. So that they can go back and revisit it. Now, we also highly, highly recommend doing this.

So we’ve also got a couple of pages in here for our programme, which is actually called achieve and succeed, where we get them to write down all the successes they have, every single day of the month. And we also have space for putting down just things that going on in your head, so that you can get them out of your head. And, make sure you’ve documented them, so that you can refer back to them, and you can refine all of those ideas.

This is just one idea of how you can do things again. We do suggest having an overview of the month as well. So you’ve got clear goals written up here, things that need to be date specific down here and also being able to put notes in. Super Super simple. You really, really don’t need to overcomplicate it.

You can use a standard notebook or a journal to do any of this. Obviously, we’ve designed one, because it works to the process that we teach and implement with the people that we mentor.

So, you can do that with pen and paper and pad, if that’s where you’re at now. I’ll give you a few other tools, some free, some paid, that are going to show you other things that you can do, that really are going to speed up your work flow.

If you’re not in a position where you can easily keep on top of things, then I’m going to recommend a tool that a lot of you may well have come across already, it’s literally your Google Calendar.

If you’ve got a Gmail account, you’ll have a Google calendar.

We recommend people who were doing business to actually set themselves up on a Google Workspace account, which is the old G Suite. It allows you to put in your daily tasks, and that means your mobile phone, your computer and everything could give you a reminder. Audible or visual, depending on your preference, that remind you of the things that you need to do, day to day, in order to get things done.

One of the beauties of this is, if you book appointments via email with other people, and it comes into your inbox, it’ll actually start adding into your calendar so that you don’t have to spend that time moving it from your emails across to the calendar.

So really, really powerful tool.

So really, really powerful tool, that you can use straight off the bat. Super super simple. Don’t overcomplicate it and don’t think too much about the process. It’s about, that is something that you can use.

It’s free, it’s readily available, and tomorrow you could start putting those things in, so that you’re keeping on top of it and getting reminders, to get those things done to the deadline’s.

Remember that humans, we work well to deadlines and that’s why we get things done.So as we come towards those deadlines, those reminders go off. That’s going to keep us on track on moving towards the goals.

Now as well as that. You might have something like a CRM system. So we recommend for smaller businesses, a nice, affordable CRM system that works really well for tracking calls, and e mails, and appointments, and has loads and loads of functionality, without breaking the bank. It just helps you every time you’re keeping on top of a follow up with someone. Whenever you have a conversation, always set that next follow up.

One of the beautiful things about PipeDrive is it helps you to do that every time you complete a task. It then pops up to remind you ‘What’s that next task?’ – put it in now, so that you can keep on top of it and that will help you to set the next task, to take the next step in that relationship, on that journey on towards the goal that you’re trying to achieve long term.

So it’s got loads of features and functionality being able to put deals in there, so things you’re discussing, that are worth something to your business. There’s also lots of automation tools where people can book their appointments through as well, a whole range of different things in here.

It does like to track all your communications, so you put your contacts in there, and then when you ring them from inside of the app, it’ll track how long you’ve been on the phone. And then it will remind you afterwards, to set that follow up when you get off the call, and to make your notes, so that you don’t forget anything that was said.

It also helps you to make your sales process.
There’s loads of features and functionality, and it is really, really affordable. At an entry level, it’s £12, 50 or £15 a month.

Super super simple, super powerful tool that we highly recommend as well, to keep on top of the things that you need to get done.

It’s like having a mini PA in your pocket that will help you remember to do those things. And it will prompt you to set the next task.

It’s quite easy to come off a call, maybe you’ve made notes during the call and to walk away from it without setting a clear intention for the next step on the follow ups. So it’s really handy for that. That’s kind of it.

I wanted to talk to you just about making sure you get those goals written down. Make them visual use. The tools are available to you. So pen and paper, in a journal, or a note pad.

You can also use something like Google Calendar or something similar to that, that will allow you to get those visual or audible prompts to go and do things.

You can also then use something like your CRM system, which will help you to track everything that you’ve got going on.

Now, there’s lots of times when things come up that you might want to track and you might forget. You know, you’re flicking though social media. Something happens. You think I should check that later? I should come back to that person.

One killer tip. This is a bonus tip, I’m gonna share with you, is use Google photos.

So super simple Photos.Google.com and then you can do on your mobile.

You can go and grab screenshot. So, for example, here I’ve grabbed some screen shots of things that have gone on throughout the day. You can see some stuff that Ian’s been doing up here, there’s some stuff from clubhouse, some bits to do with my health, from my watch app and stuff. But it gives you an idea, that these are backing up from my phone, and having those as reminders where you can put notes against them, or you can just flick through those photos at the end of the day, it’s really gonna help you to remember the things that you need to do.
